30% deposit: 30% charged at checkout. We begin sourcing immediately (plant selection, inspection, preliminary matching). Remaining 70% charged when you pay manually (anytime within 14 days) or automatically on day 14. Final logistics confirmed after full payment.

What exactly happens after I pay my 30% deposit?
Within 48 hours of your deposit, we activate your order:

- Our team contacts partner nurseries in Holland and Italy
- We identify 20-30 candidate plants matching your specifications
- Expert inspection of specimens for health, form, and quality
- Hand-selection of your matched pair
- Preliminary height and density verification
- Photography and documentation for our records
Your Order is Secured:
- Reserved in our system with priority allocation
- Protected during peak season demand (Feb-May)
- No one else can claim these specific plants
You'll receive email updates on progress, including:
- Confirmation that sourcing has begun

What happens on day 14 if I haven't paid the balance?
If you haven't manually paid your balance within 14 days, we automatically charge the remaining 70% to the card you used for your deposit.

Is my payment information secure?
Yes. We take security seriously.
What we do:
- All payments processed through Shopify Payments (PCI-DSS Level 1)
- 256-bit SSL encryption (same as online banking)
- 3D Secure verification (additional fraud protection layer)
- Tokenisation (card details stored as encrypted tokens, not numbers)
What we don't do:
- We never see your full card number
- We never store your CVV
- We never have access to your payment details
- We can't retrieve your card information even if we wanted to
For 30% deposits, your card details are securely tokenised only to process the automatic balance payment on day 14. After your order is complete, these tokens are automatically deleted unless you've chosen to save your card for future purchases.

What if my payment fails?
At Initial Checkout:
If your card is declined, you'll see an error message immediately. Common reasons:
- Insufficient funds
- Incorrect card details (number, expiry, CVV)
- Bank security block (especially for first online purchase)
Try: Different card, contact your bank, or choose another payment method (Klarna, PayPal, etc.)
For Automatic Balance Payment (Day 14):
If the automatic charge fails, we'll email you within 1 hour with:
- Payment failure notification
- Secure payment link to complete manually
- 7-day grace period before order is affected
We'll automatically retry the payment 3 times over 3 days in case it was a temporary issue (e.g., insufficient funds temporarily).
After 21 Days Total:
If we still can't collect payment after 21 days (14 days + 7-day grace), your order may be cancelled and the 30% deposit forfeited to cover the sourcing work already completed on your behalf.
We don't want this to happen—we'll work with you to resolve payment issues before it reaches this point.
Can I change my payment method after ordering?
Depends on your order status:
Pay in Full Orders: No—payment is complete and cannot be reversed or changed.
30% Deposit Orders: Yes! You can update the card we'll charge for your balance payment:
- Log into your account → Orders → Update Payment Method
- Email us at hello@topiarytwins.co.uk and we'll send an update link
- Must be updated before day 14 (when automatic charge occurs)
Klarna Orders: Contact Klarna directly to update payment details. We can't modify Klarna payment methods—only Klarna can.

What happens if I need to cancel after paying a deposit?
Cancellation terms depend on timing and order status:
Within 24 Hours of Deposit:
- Full refund of your 30% deposit
- No administrative fees
- No questions asked
24-72 Hours After Deposit (Sourcing Active):
- Refund of 30% deposit minus £50-75 administrative fee
- This covers preliminary sourcing work already completed:
- Nursery contact and coordination
- Initial plant identification and inspection
- Time allocated to your order during peak season
After 72 Hours (Sourcing Advanced):
- Refund of deposit minus demonstrable sourcing costs (15-30%)
- We'll provide itemisation if requested:
- Nursery inspection fees
- Photography and documentation
- Phytosanitary certificate preparation (if begun)
- Transport coordination costs
After Full Payment (Plants Selected & Matched):
- Standard refund policy applies (see Refund Policy)
- Plants are live goods and may have been held for you
- Refund minus reasonable costs incurred
After Dispatch:
- No refund (plants are perishable goods in transit)
